Timezone Meeting Planner

Find overlapping work hours across timezones for your next meeting.

Scheduling across timezones is painful. This planner finds the overlap instantly.

How to use

  1. Pick two to four locations.
  2. The tool shows UTC hours where everyone is within 9-to-5 local time.
  3. If there is no overlap, consider who can do early/late.

About this tool

Work hours are assumed 9:00–17:00 local. Daylight saving is handled automatically.

How it works

For teams spread across the world, the question is not β€˜when is everyone free’ but β€˜when do our workdays overlap’. Take each person’s working hours in local time, convert to UTC, and intersect the ranges. The result is your core collaboration hours β€” the only time real-time discussion is possible.

Aim for at least two to three shared hours for a healthy overlap; one hour works for standups but not for deep collaboration. Anything outside the overlap should default to async: written updates, recorded walkthroughs, documents with comments.

Watch out for half-hour zones β€” India (UTC+5:30), Nepal (UTC+5:45), parts of Australia (+9:30) β€” and for daylight saving, which shifts many offsets by an hour twice a year. Both make manual math error-prone, which is exactly why this tool exists.

Worked examples

Three-hub team: London, New York and Singapore, all 9–17 local: UTC windows 09:00–17:00, 14:00–22:00, 01:00–09:00. There is no three-way overlap β€” this team needs async-first habits, with pairwise calls in the two-way overlaps.

Follow-the-sun handoff: San Francisco (9–17 PST = 17:00–01:00 UTC) and Warsaw (9–17 CET = 08:00–16:00 UTC) share nothing. Shifting Warsaw to 11–19 local creates a 2-hour window β€” enough for a daily handoff call.

Frequently asked questions

Does it handle daylight saving?

Yes β€” offsets are computed live from your browser\u2019s timezone database.

Can I add more than 4 zones?

Four covers most meetings. For more, run it twice with different combinations.

What if there is no overlap?

The tool tells you. Typical fixes: one side starts early, or split into two shorter meetings.
