Meeting Time Planner
Find overlap hours across time zones.
Distributed teams waste hours proposing times that are midnight somewhere — a visual grid ends the guessing.
How to use
- Pick up to 3 cities (edit the dropdowns).
- Click the button for a 24-hour overlap grid.
- Green blocks are 9–17 local working hours — aim for columns green in every row.
About this tool
Working hours are assumed 9:00–17:00 local; columns show the next 24 hours from now.
All math uses your browser’s timezone database; nothing is uploaded.
How it works
Finding a slot across time zones is a set-intersection problem. Convert each person’s availability to UTC, then take the overlap. If Alice is free 9:00–17:00 in Berlin (UTC+1 in winter) and Bob is free 9:00–17:00 in New York (UTC−5), their windows are 08:00–16:00 and 14:00–22:00 UTC — the shared slot is 14:00–16:00 UTC.
Daylight saving moves these windows twice a year wherever it is observed, so a slot that worked in January can silently vanish in July. Recurring meetings deserve a re-check after the spring and autumn clock changes (last Sunday of March/October in the EU; second Sunday of March and first Sunday of November in the US).
When there is genuinely no overlap — San Francisco and Sydney share zero working hours — the fair fix is rotation: alternate who takes the early slot and who takes the late one, and keep those meetings short.
Worked examples
Berlin + New York: Both 9–17 local. Overlap: 14:00–16:00 UTC = 3–5 PM in Berlin, 9–11 AM in New York. Book 15:00 UTC — mid-morning for New York, mid-afternoon for Berlin.
London + Dubai + Singapore: With 8:00–18:00 local hours the UTC windows are 08:00–18:00, 04:00–14:00 and 00:00–10:00. Overlap: 08:00–10:00 UTC — 8 AM London, noon Dubai, 4 PM Singapore.
Quick reference
| Pair (both 9–17 local) | Shared window (UTC) |

| New York – Los Angeles | 14:00–22:00 |
| Singapore – Sydney | 01:00–09:00 |
